Job Summary
The Administrative / Field Assistant is an entry-level position that supports restoration and reconstruction projects through administrative assistance and on-site support. This role works closely with coordinators, project managers, and field technicians to help ensure jobs run smoothly from start to finish. This position offers room to grow, with training provided in estimating, office administration and in the contents processes for motivated individuals. This is a Full-Time position.
This role involves a mix of office and field work and may require travel, overnight stays, and on-call availability.
Key Responsibilities
Administrative & Office Support
- Assist with job documentation, estimates, and inventories (training provided)
- Help prepare non-restorable and salvageable contents lists
- Enter job notes, photos, and updates into company systems
- Support scheduling and job tracking
Field & Job Site Support
- Assist with job site coordination and technician support
- Conduct site visits to document progress and take photos
- Help ensure proper handling, packing, cleaning, and return of contents
- Support supervisors in maintaining job quality and timelines
Coordination & Communication
- Communicate with internal teams regarding job status
- Provide professional customer service to clients and team members
- Assist with resolving job issues under supervision
Position Requirements
- Valid driver’s license with acceptable driving record
- Willingness to travel and stay overnight at out-of-town job sites when required
- Availability for on-call rotation, including evenings or weekends
- Strong organizational skills and attention to detail
- Willingness to learn and grow within the company
- Strong English proficiency required.
Preferred (But Not Required) Qualifications
- Experience in administrative support, construction, or field assistance is a plus
- Strong communication and customer service skills
- Managing experience at any level an asset
Note: No prior restoration experience is required. We are willing to train reliable, motivated candidates and provide a clear path for advancement.
Physical & Work Environment Requirements
- Ability to lift up to 50 lbs
- Ability to work in active job site environments
- Comfortable working in variable conditions
