The Junior Project Manager for Strategic Partnerships will support the Senior Project Manager for Strategic Partnerships in managing all jobs within the Strategic Partnership Division. This division focuses on building and developing commercial partnerships, delivering projects on budget, and ensuring superior service levels. The Junior Project Manager will assist with project coordination, communication, and administrative tasks to ensure smooth execution from start to completion.
 
This department relies on a superior level of service, delivered by working closely with quality assurance and operations to support and ensure our office can meet the commitments and expectations established with our partners, stakeholders, and customers.
 
Strategic Partnerships will both extend and create business opportunities, developing and implementing plans that will enable Paul Davis Ottawa to build upon its current Commercial business. Strategic Partnerships will also be responsible for evolving and deepening the collaborative process and the critical relationship between the Paul Davis Ottawa culture and its customers.
 
Business Development
  •       Assist in deepening and expanding business within the commercial sector by helping to maintain strategic relationships with brokers, facility managers, and other key partners.
  •       Support in monitoring ongoing commercial jobs, providing updates to decision-makers as required.
  •       Assist in problem-solving and issue resolution that may affect client/company relationships.
  •       Help with commercial governance tasks, including bidding, contract management, and supporting project delivery.
  •       Aid in organizing and prioritizing tasks, ensuring alignment with corporate processes.
  •       Compile and present information at both detail and summary levels for the Senior Project Manager and other stakeholders.
 
Project Management
  •         Assist in receiving and processing new job requests, coordinating with the Senior Project Manager for site visits.
  •         Help document loss or damage at sites with photos and prepare necessary reports.
  •         Aid in preparing work orders for vendors, subcontractors, and internal departments.
  •         Assist in gathering sub-trade quotes and supporting documentation for costing and claims.
  •         Coordinate and schedule site meetings, ensuring all necessary parties are informed.
  •         Update project management systems (RMS, XA, Encircle) in real time to track job progress.
  •         Support in the creation of work order budgets and assist in reviewing job costing to ensure accurate margins.
  •         Help manage communication with all relevant parties throughout the project lifecycle.
  •         Assist in invoicing and accounts receivable tasks, including collection of deposits and completion certificates.
 
Production 
  •         Assist in scheduling trades for non-in-house vendors and monitor quality control in coordination with Field Supervisors.
  •         Help ensure operational objectives for cost controls and scheduling are met.
  •        Aid in conducting pre-construction meetings at the start of each job.
  •         Support in confirming budgets, purchase orders, and work orders for each project.
  •         Assist in building relationships with current vendors and trade professionals for future project partnerships.
  •         Help track job progress using GANTT charts and other project management tools.

As an employee of an emergency-based company, you will be required to be on call and support if called upon during busy periods.
 
Skills & Knowledge
  • Restoration or construction background.
  • Project Management skills and training is an asset.
  • Excellent interpersonal, communication, and team player skills.
  • Ability to manage multiple projects whilst making sure the customer is taken care of.  
  • The ability to handle conflict and think on your feet.  
  • Highly organized with the ability to prioritize.  
  • Advanced ability to influence, persuade and negotiate project resources to achieve desired outcomes.
  • Advanced proficiency to develop and maintain relationships with project stakeholders.  
  • Highly motivated and quality driven.  
  • Strong understanding of the Ontario Health and Safety Act.  
  • Possess a continuous improvement and quality mindset along with a desire to seek and incorporate best practices and technologies to optimize project delivery and deliver value to the client.
  • Computer proficiency in MS Office applications in particular – MS Excel, MS Outlook, along with the ability to quickly learn new applications.  
  • Maintain a level of confidentiality.
  • Must maintain a valid driver’s license, insurance, and reliable vehicle.
